A Safety Data Sheet is a structured technical document that accompanies every hazardous chemical product. Under Australian WHS legislation and the model WHS Regulations, an SDS must be provided to the workplace when a hazardous chemical is first supplied and must be accessible to workers at all times the chemical is in use.
THE 16 SECTIONS AND WHAT EACH MEANS IN PRACTICE
Section 1 — Identification: product name, intended use, supplier name and contact details, and emergency telephone number. In any chemical incident, Section 1 provides the emergency contact number. This number must be accessible within seconds — not after you have flipped through 15 pages of the document.
Section 2 — Hazard Identification: the GHS hazard classification, pictograms, signal word (Danger or Warning), hazard statements, and precautionary statements. This section tells you how dangerous the product is and what hazards it presents before you open the container. Read Section 2 for every new product on your first encounter.
Section 3 — Composition: the chemical identity and concentration of ingredients. Important if you need to understand what you are actually handling or if specific ingredient information is required for a medical emergency.
Section 4 — First Aid Measures: what to do if the chemical contacts skin, eyes, is inhaled, or is ingested. Know this section for every product in your kit before you start the job. In a real exposure incident, you will not have time to find and read this section calmly.
Section 5 — Firefighting Measures: relevant if a fire involves the chemical. Identifies appropriate extinguishing agents and any special fire hazards.
Section 6 — Accidental Release Measures: what to do in a spill or release. Containment methods, cleanup procedures, and whether specialist assistance is required.
Section 7 — Handling and Storage: safe handling procedures, storage temperature requirements, incompatible storage conditions, and ventilation requirements. Follow this section for every product stored in your vehicle and at your depot.
Section 8 — Exposure Controls and Personal Protection: workplace exposure standards (WES) where applicable, required engineering controls, and specific PPE requirements for this product. This section tells you exactly what gloves, eye protection, and respiratory protection are required.
Section 9 — Physical and Chemical Properties: appearance, odour, pH, flash point, boiling point. Useful for identifying a product if its label is missing and for understanding its physical behaviour.
Section 10 — Stability and Reactivity: conditions to avoid, incompatible materials, and hazardous decomposition products. Critical for understanding what this product must never be stored near or mixed with.
Section 11 — Toxicological Information: health effects from acute and chronic exposure. Informs PPE selection and health monitoring requirements for workers with regular exposure.
Section 12 — Ecological Information: environmental impact. Informs disposal decisions and spill response priorities near waterways.
Section 13 — Disposal Considerations: how to legally and safely dispose of the product and its container in Australia. State-specific requirements may apply.
Section 14 — Transport Information: dangerous goods classification for road transport. Relevant if transporting chemicals in commercial quantities.
Section 15 — Regulatory Information: Australian-specific regulatory information relevant to this product.
Section 16 — Other Information: preparation date and revision date. Check this date — an SDS more than five years old may not reflect current GHS classifications or formulation changes. Obtain current SDS from the manufacturer.
MANAGING SDS IN A CLEANING BUSINESS
Every hazardous chemical used in the business must have a current SDS accessible at the job site when that chemical is in use. Digital storage — a dedicated folder on a work phone or tablet organised by product category — is the most practical approach. A physical SDS file in the vehicle is an acceptable alternative. Whichever system is used, every worker must know how to access the SDS for every product they carry.
Conduct an SDS register audit annually: list all chemicals in use, confirm current SDS documents are held for each, and remove SDS documents for products no longer in use.
