The initial response phase of a water damage project encompasses everything from the client's first call to the commencement of extraction. How this phase is managed determines the efficiency and profitability of everything that follows.

Phone triage: gather sufficient information from the client in the initial call to determine the likely scope (residential or commercial, area affected, water source, Category assessment), the resources required (equipment load, PPE requirements, specialist subcontractors), the urgency level, and the safety considerations for site attendance. Document the call with a time stamp. Dispatch the right resources to the job based on the triage information — do not dispatch a single technician with minimal equipment to a job that requires a team.

Site establishment on arrival: safety assessment precedes all other activities. Confirm power isolation. Assess the water category. Don appropriate PPE before entering. Photograph the site from all angles before any equipment or material is moved. This initial photographic record is irreplaceable — it documents the conditions that existed before your work began and is the foundation of your scope and estimate.

Insurer notification: most insurance policies require the insurer to be notified within a defined period of a claim event. As the restoration contractor, your obligation is typically to notify the insurer as soon as practical following site attendance and to provide an initial assessment report (IAR) within 24 hours for significant losses. Confirm the insurer's notification and reporting requirements for each panel you work with and build them into your initial response workflow.
